The 2020 Northeast Association Annual Meeting has been postponed until Saturday, October 17, 2020. At this time, the only sensitive matter is elections because some Directors’ terms are expiring.
We plan to hold elections electronically. Electronic versions of the White Book will be distributed within the next couple of weeks. The nominees that have consented to run will be listed together with their bios. Nominees are still needed for a number of positions for which the Nominating Committee has been unable to obtain candidates. We ask that when you receive the White Book, you review the vacant positions and seek nominations. If you are able to find someone who is willing and consents to be nominated, please send the name and a brief bio to Kaylene Kloehn at K.firstname.lastname@example.org with a copy to me at email@example.com. We need to have all nominations in by April 15. After additional nominations are received, a ballot will be emailed to each minister and delegate. We are working out the process of how the votes will be tabulated electronically and will include instructions with the ballot.
In order to have a valid election, we need to know each Local Church’s delegates. The registration for the Annual Meeting is available here. In addition, each church should have received the registration form. Please register (there is no charge) by April 15, even though there will not be an Annual Meeting on May 2. Please be sure to include an email address with each registration so that we can email ballots to all delegates. If one of your delegates does not have email, please include a mailing address.
April 18, 2020 – ZOOM meeting 10:30-11:30am
In these days of social distancing we are blessed to be able to come together digitally as a Zoom community. We invite our NWA authorized clergy and delegates to the Annual Meeting as we gather as the NW Association in Zoom format. You will be able to join us from wherever you are!
During this year’s annual meeting we will cover the essentials as we review old business and finances from 2019 and review/approve our 2021 budget.
We still are asking all delegates and clergy to register online as we will need to forward ballots to you for voting of nominations as proposed by the Nominating Committee. An annual report will be sent electronically to each NW church and to all registered delegates and clergy.

We are tentatively planning to meet in person on October 10, 2020 at Christ Church in Milwaukee to have the program we planned for this spring.
Congregations should still register clergy and delegates. Registration forms have already been sent to congregations. Please be sure to include email addresses for all who register. If a delegate does not have an email address, please make arrangements for them to use an account as we will be having elections for officers this spring via an electronic format. We will NOT be voting on our 2021 budget at this time. To register, click here.
There is no payment to be made at this time, as the cost typically covers our meeting expenses and since there are limited expenses for this spring meeting, there is no charge.
Each registered clergy and delegate will receive an electronic copy of our “White Book” that includes all our Association team reports for 2019’s activity as well as a slate of candidates for our leadership teams. Our nominations are open at this time and if you have persons you would like to nominate, please submit nominations to our Association email (firstname.lastname@example.org) and they will be forwarded to our Nominating Team.
ONLY registered clergy and delegates will have access to the voting mechanism (we aren’t exactly sure what that is at this moment). When the voting is completed, we will note how many clergy and delegates signed in to determine if we have a quorum. If we have a quorum, we will tally the votes to determine the outcome of the elections.
Due to current circumstances, our Association Meeting will take place in a very different format this year. We WILL NOT be meeting in person on May 2, 2020. We are hopeful that we will be able to schedule an in person Association Meeting for later in the fall. Stay tuned for details on that! The essential business we need to take care of this spring is Nominations. We will not be voting on our 2021 budget at this time.
Registration forms have already been sent to congregations for the originally planned May meeting. Congregations should still register clergy and delegates by the original deadline of FRIDAY, APRIL 24. Please be sure to include email addresses for ALL who register. If a delegate does not have an email address, please make arrangements for them to use an account as we will be having elections for Association Committee positions this May via an electronic format.
There is no payment to be made at this time. If registration money has already been paid, it will be applied to the meeting planned for the fall.

38 An Association is that body within a Conference of the United Church of Christ which is composed of all Local Churches in a geographical area, all Ordained Ministers holding standing or ordained ministerial partner standing therein, all Commissioned Ministers and Licensed Ministers in that Association.
39 Subsequent to the initial organization of Associations in the United Church of Christ, the boundaries of any new Association, or any adjustment of boundaries between Associations, shall be determined by the Associations concerned with the approval of the Conference or Conferences involved. The standing of an Association as a body of the United Church of Christ is determined by the Conference in which it is located.
40 An Association is that body which determines, confers, and certifies to the standing of the Local Churches of the United Church of Christ within its area.
41 An Association is that body which grants authorization that is required for various forms of ministry in and on behalf of the Church. Such authorization is granted through the rite of ordination, through commissioning, licensing, granting either ordained ministerial standing or ordained ministerial partner standing and other acts of authorization. Such authorization may be terminated by the Association.
42 An Association may retain or secure its own charter, and adopt its own constitution, bylaws and other rules which it deems essential to its own welfare and not inconsistent with this Constitution and the Bylaws of the United Church of Christ.
43 An Association is related to the General Synod through its Conference.
44 When an Association meets, its voting membership includes the lay delegates selected by and representing the Local Churches of that Association, all Ordained Ministers holding standing or ordained ministerial partner standing therein, all Commissioned Ministers and Licensed Ministers of that Association.
45 Meetings of the Association are held annually and at such other times as may be necessary for the discharge of its responsibilities.
